We are seeking a highly organized and detail-oriented individual to join our team as an Office Secretary/Administrator. In this role, you will be responsible for overseeing all aspects of office operations, ensuring smooth day-to-day function, and providing administrative support to our team. You will be the point of contact for various inquiries, handle administrative tasks, manage personnel records, and contribute to a positive and efficient work environment.
Responsibilities
Manage incoming phone calls, emails, and inquiries, routing them to the appropriate team members and providing prompt responses in fluent and professional English.
Organize and maintain office systems, including filing, document management, and inventory control for office supplies, printing materials, and equipment.
Process travel arrangements for personnel, including booking flights, hotels, and other travel-related needs.
Manage personnel records, including onboarding new employees, updating information, and maintaining accurate data.
Coordinate and schedule meetings, maintaining calendars and managing relevant arrangements.
Order and manage office supplies and equipment, ensuring sufficient stock and cost-effectiveness.
Oversee the smooth operation of office equipment, including printers, photocopiers.
Implementing new administrative system and procedures.
Perform other administrative tasks as assigned.
Qualifications
Minimum of 23 years of experience in an office management role.
Strong written and verbal communication skills in English are essential.
Strong organizational and time management skills.
Proficient in Microsoft Office Suite.
Ability to work independently and manage multiple tasks simultaneously.
Detail-oriented and highly organized, with a strong commitment to accuracy.
Positive and proactive attitude, with a willingness to learn and adapt.
